Event Security Planning: A Checklist for Puget Sound Venues

Events fail at the edges — the unstaffed side door, the line that backs into a traffic lane, the guest who was overserved two hours before anyone noticed. None of those are dramatic security problems. They are planning problems that become security problems, and they are all solvable in a conversation before the event rather than a radio call during it.

Map Every Opening, Not Just the Front Door

Walk the venue and count every way in: main entry, vendor load-in, kitchen and service doors, emergency exits, parking connections, and any gap in temporary fencing. Each opening either gets an Event Officer, gets locked, or gets a documented reason it is unattended. Most unauthorized entry happens through a door somebody assumed was handled.

Design the Entry Line

Entry is where crowds get frustrated and where staffing pays for itself. Decide in advance whether you are checking bags, checking identification, checking tickets, or all three, and staff to a realistic throughput rather than an optimistic one. A line that wraps into a driveway is both a safety issue and the first impression of your event.

Settle the Alcohol Plan Early

If alcohol is served, agree on who cuts someone off, who walks them out, how transportation is handled, and how the incident gets documented. Officers support venue staff in these moments; they should not be discovering the policy in real time.

Write the Escalation Ladder

Everyone on the radio should know the same sequence: who handles a verbal dispute, who makes the call to remove a guest, who contacts law enforcement, who addresses a medical event, and who speaks to attendees if something stops the program. One page, distributed at the pre-event brief.

Staff for De-escalation, Not Confrontation

Nearly every event problem resolves through conversation. Our Event Officers are trained in verbal de-escalation and scope of authority through the Officer Integration Program, because the goal is a guest who leaves calmly and an event that keeps running.

Debrief and Document

After the event, collect the incident reports and the Officer observations. That record informs next year's staffing plan and protects the organizer if a claim surfaces later.
